Sigma Alpha Officer Positions and Duties 2003-2004
PRESIDENT:
- Ultimate responsibility for the UCLA chapter of Pi
Sigma Alpha
- Ensures that tasks are carried out in an efficient
and fairly delegated manner
- Ensures that the chapter is in good
standing with the national office, campus administration, and
other organizations
- Call, plan, and preside over all Pi Sigma Alpha
officer and general member meetings, with the purpose of planning
objectives, events, and goals for each quarter.
- Prepares an agenda
for each meeting and/or event, distributes to attendees
- Processes
and approve member applications, maintains current list of membership
and email address book, sends acceptance
letters, and orders certificates from the national office
- Responsible for emailing members and responding to email inquires
VICE-PRESIDENT:
- Works in conjunction with the President
- Aids in member relations,
including responding to email inquires and announcements
- Substitutes
the President should he/she fail to attend a meeting or event
- Drafts
and sends grant for National Office Chapter Activity Competition
in fall
- Compiles annual chapter report with support of President
FINANCE DIRECTOR:
- Maintains accurate and current balance and financial
status of all funds, monthly reports to Presidents
- Responsible
for the organization of all statements and checks, sees that
all bills, reimbursements are paid
- Collection of membership dues and
depositing funds
- Responsible for organizing and arranging PSA merchandise
orders and aids in any fund raisers
- Collects and processes Budget
Request Forms for all proposed events
EXECUTIVE ADMINISTRATOR
- Take minutes at all meetings and promptly
distribute meeting minutes to each officer via email
- Maintains
current list of grants, scholarships, and internships available
to membership
- Seek national scholarship/grant opportunities for
the chapter and apply for them
- Ultimate responsibility for all
records and documents
EVENTS DIRECTOR:
- Coordinates any and all guest speakers, social
(formal and casual) events for membership
- Completes Budget Request
Form for each event, and turns in to Finance Director
- Reserve
appropriate rooms and locations for all events, including officer
and general member meetings
- Recruit a committee and delegate tasks
as appropriate
PUBLICATIONS DIRECTOR:
- Responsible for planning and arranging the
production of a undergraduate political science journal and/or
newsletter
- Publicize, recruit, and collect articles and sponsorship
for the publishing of a journal and/or newsletter
- Maintains committee
of assistant positions that Editor selects such as Copy Editor,
Assistance Editor
PUBLIC RELATIONS DIRECTOR
- Responsible for updating the PSA bulletin
and sandwich boards and posting flyers for upcoming events
- Creates
and submits to advertising sources for the purpose of recruitment
and publicity
- Accepts Publicity Request Forms from other officers
on creation of publicity pieces
- Organizes membership recruitment
and publicity for the organization
- Develops and maintains programs
that add incentives to membership
- Make and arrange announcements
(paper, email, etc) to recruit new members or publicize events
TECHNICAL DIRECTOR:
- Responsible for the maintenance (updates
and design) of the UCLA Pi Sigma Alpha website
- Responsible for
the maintenance and upkeep of chapter computer equipment.
