DRAFT CONSTITUTION for UCLA CLUB TENNIS
Article 1 – Name
The official name of this sports club organization is UCLA Club Tennis, which will also be referred to as the “Tennis Club at UCLA.” The official name of the Club’s travel squad is the UCLA Club Tennis Team, also referred to as the “Club Tennis Team.”
Article 2 – Purpose
The purpose of UCLA Club Tennis is to foster a friendly and competitive social community for tennis players at UCLA. Specifically, it is to:
1. Serve as a common base for finding those who are interested in playing tennis
2. Provide a forum for socialization among those who are interested in tennis
3. Promote an open and safe environment for learning the sport of tennis
4. Manage a traveling squad to compete against regional and national club teams.
Article 3 -- Statement of Non-Discrimination Policy
UCLA Club Tennis, in accordance with applicable Federal and State law and University Policy, does not discriminate on the basis of race, color, national origin, religion, sex, disability, age, medical condition (cancer related), ancestry, marital status, citizenship, sexual orientation or status as a Vietnam Veteran or special disabled Veteran.
UCLA Club Tennis also prohibits sexual harassment. This non-discrimination policy covers organizational membership, access to organizational programs and activities, and the general treatment of members in the organization.
Article 4 – Membership
UCLA Club Tennis membership is open to all members of the UCLA community that hold a valid Bruin or Recreation Card. Any person deemed eligible by the UCLA Recreation Department to participate in activities and has paid membership dues, shall be considered a full member with all rights and privileges. An email address and other membership information, such as past recorded attendance in club meetings, for each club member must be maintained in the club’s listserve, which shall be kept by members of the Executive Committee.
Club membership should not be confused with selection to the UCLA Club Tennis Team, which is governed by Article 6 of this constitution.
Article 4, Section 1 – Dues
All Club members are required to pay dues, to will collected on a quarterly or annual basis. The dues will includes registration fees required by the UCLA Department of Recreation. Use of the remainder of Club dues must be for club related items outlined in this constitution and requires the approval of both the Club President and Vice President.
Article 5 – Meetings/Activities
1. General meetings: A general meeting for all club members will be conducted once every Fall, Winter, and Spring Quarter, to discuss club business or hold elections and must be called by the officers with reasonable advanced notification. Attendance at general meetings are required for all officers but not required for club members.
2. Executive Committee meetings: The Executive Committee of UCLA Club Tennis will meet at the beginning of each quarter to outline a general plan for club business for the relevant quarter.
3. UCLA Recreation Department meetings: Once a month at least one member of the Executive Committee (see Article 6 for specific duties) will meet with the Club Sports Coordinator of the UCLA Department of Recreation to provide updates about the club’s past and future events.
4. Activities typically include:
· weekly reservation of LATC courts to be made available for club member hitting sessions
· friendly tournaments/games, such as one-point tournaments and doubles mixers
· a monthly Southern California Tennis Association Tennis on Campus event hosted by UCLA Club Tennis or by the tennis club organization run by another Southern California school
· a bi-monthly social event held in a location designated by the officers including but not limited to parties and trips to local tennis events/tournaments
Article 6 – Officers
1. Executive Committee: The governing body of this club shall consist of a UCLA Club Tennis President, Vice President, and UCLA Club Tennis Team Coach.
2. Officers: The UCLA Club Tennis Officers and UCLA Club Tennis Team Captains are invited to Executive Committee meetings, but do not have an official vote, and serve to support members of the Executive Committee.
3. Election of Officers: Officers are elected at general Club meetings held every spring quarter preceding the start of the following academic year. Each office position will be elected by a two-thirds vote of members with a quorum in attendance.
Article 6, Section 1 – UCLA Club Tennis President
1. Duties: The UCLA Club Tennis President is the lead authority of UCLA Club Tennis, and has the following duties:
a. Responsibility for all communications between the club and other organizations, on and off campus,
b. Responsibility for duties related to governing the club, with the advice of the Executive Committee
c. Managing all Club Tennis Team travel plans.
2. Term of Office: The UCLA Club Tennis President serves for half a calendar year, with terms running from June through November, and December through May. The Club President is appointed by the current Club President and is confirmed by a vote of the membership. Club President may serve multiple terms, but each term must be approved through the voting process. When a new Club Tennis President is approved, the former Club Tennis President assumes the title of UCLA Club Tennis Advisor until the end of the quarter.
3. Eligibility: Club Tennis President candidates must have a current or former affiliation with UCLA. The Club Tennis President and Vice President can not both be active players on the club team.
Article 6, Section 2 – UCLA Club Tennis Vice President
1. Duties: The UCLA Club Tennis Vice President is the second in authority of the club’s Executive Committee and has the following duties:
a. Sharing and/or dividing responsibilities typically exercised by the Club President
b. Responsibility for the general operation of the club’s events, meetings and other club functions.
c. Appointment of UCLA Club Tennis Officers to complete duties
2. Term of Office: The UCLA Club Tennis Vice President serves for half a calendar year, with terms running from June through November, and December through May. The club coordinator is appointed by the Club President and current Club Vice President, and confirmed by a vote of the membership. The Club Vice President may serve multiple terms, but each term must be approved through the voting process. When a new Vice President is approved, the former Club Tennis Vice President assumes the title of UCLA Club Tennis Advisor until the end of the quarter.
3. Eligibility: Club Tennis Vice President candidates must have some current or former affiliation with UCLA. The Club President and the Club Vice President can not both be active players on the club team.
Article 6, Section 3 – UCLA Club Tennis Team Coach
1. Duties: The UCLA Club Tennis Team Coach, also referred to as “the club coach,” leads the UCLA Club Tennis Team and heads club instruction. Other duties include:
a. Selecting team members for the traveling squad
b. Appointing club team captains
c. Reserving court space for team practice and leading team practice
d. Making all final decisions governing the Club Tennis Team with the advice of the UCLA Club Tennis Team Captain(s)
2. Term of Office: The UCLA Club Tennis Coach serves primarily from October through May. The Club Coach is appointed by the Club President and Vice President, and is confirmed by a vote of the membership. The Club Coach may serve consecutive years, but each year must be approved through the voting process. The Club Coach is an unpaid position. Any travel or related expenses for the Club Team are covered by the club and are fully reimbursable pending approval by the Club President and Vice President.
Article 6, Section 4 – UCLA Club Tennis Officers
1. Duties: The UCLA Club Tennis Officers, also referred to as “the club officers,” are appointed and assigned duties by the UCLA Club Tennis Vice President. Club Officers shall consist of:
a. Historian/Webmaster who is responsible for designing and maintaining the club webpage, in addition to the Facebook page, documenting events and meetings.
b. Internal Coordinator(s) who shall plan, schedule, and coordinate events within the club, including socials, hitting sessions, mixers, etc.
c. External Coordinator(s) who shall plan and coordinate events outside of the club, including intercollegiate events, USTA tournaments, etc., and maintain relations outside of UCLA Club Tennis.
d. League Coordinator who shall manage and supervise the intramural league that occurs every quarter it will operate.
e. General Officer who shall advertise and organize events for new members, supervise club events, and share and/or divide responsibilities with the other officers when needed.
2. Term of Office: UCLA Club Tennis Officers serve for as long as they are willing help, but no longer than the Club Vice President who appointed them. Officers will need to be re-appointed by the new Club Vice President if they wish to continue assisting the club as an officer. Club officers must be full members of the club in good standing (e.g. dues paid).
Article 6, Section 5 – UCLA Club Tennis Team Captain
1. Duties: The UCLA Club Tennis Team Captain, also referred to as “the club team captain,” is appointed by the Club Coach to be the on-court leader for the club team. The club team captain will make lineup recommendations, will assist in leading Club Team practice and help with any other duties that will help the team be successful
2. Term of Office: The UCLA Club Tennis Team Captain serves for as long as he is willing help, but no longer than the Club Tennis Coach who appointed him. A captain will need to be re-appointed by the new Club Tennis Coach if he wishes to continue assisting the club as a captain. Club team captains must be full members of the club in good standing (e.g. dues paid).
Article 7 – Club Team Selection
Selection of players for the club team will be made by the UCLA Club Coach. Selections will be based on a demonstrated ability to play tennis at a competitive level. To be considered for the travel squad, candidates will need to be club members in good standing.
Article 8 – Line of Succession
In the event that a member of the Executive Committee is absent or becomes vacant, the following positions will assume duties of that office:
1. the Club Vice President assumes the President’s responsibilities.
2. the Club Team Coach assumes the responsibilities of the President and Vice President in their absence.
Article 10 – By-laws and Amending
By-laws to this constitution may be suggested to any Executive Committee member. By-laws can be passed by a majority of the committee. If there is a dissenting vote, that executive member can request that the membership vote on the by-law directly.
Any member may suggest an amendment to the constitution. Amendments will be brought up at the following Fall, Winter or Spring general meeting. To amend the Constitution, the Executive Committee must be unanimous, and two-thirds of the membership in attendance at the meeting must agree to it.
